Template Builder

The template builder uses a block-based editor. Drag and drop content blocks to design your document layout. Each template is specific to a document type (invoice, proposal, contract, quote, or receipt).

Block Types

There are 16 block types organised into three groups:

Content Blocks:

  • Text — Rich text content with formatting (bold, italic, lists, links) and variable placeholders.
  • Heading — Section headings from H1 to H6, with alignment options.
  • Image — Upload an image (JPEG, PNG, WebP, or GIF up to 5 MB). SVG files are not permitted.
  • Divider — A horizontal line to separate content visually.
  • Spacer — Vertical whitespace between blocks.
  • Page Break — Force the content after this block onto a new page in the PDF output.

Data Blocks:

  • Variable — Insert a template variable that auto-fills with document, recipient, or company data.
  • Line Items — A pricing table that renders all line items with columns for name, description, quantity, unit price, discount, tax, and total.
  • Summary — A totals table showing subtotal, discount, tax, and grand total.
  • Data Table — A custom data table for arbitrary tabular content.
  • Date — Insert a formatted date.
  • Signature — An e-signature capture area with a signer label.

Layout Blocks:

  • Columns — Multi-column layout. Nest other blocks inside each column.
  • Section — A grouped section container. Can hold child blocks.
  • Header — A document header area (e.g., for logos and company info).
  • Footer — A document footer area (e.g., for page numbers and legal text).

Template Variables

Use double-brace syntax to insert variables that auto-fill when a document is created. Available variables include:

Document variables:

  • {{document.number}}, {{document.title}}, {{document.reference}}
  • {{document.issued_at}}, {{document.due_at}}, {{document.valid_until}}
  • {{document.subtotal}}, {{document.discount_amount}}, {{document.tax_amount}}, {{document.total}}
  • {{document.amount_paid}}, {{document.amount_due}}
  • {{document.payment_terms}}, {{document.payment_instructions}}
  • {{document.notes}}, {{document.terms}}, {{document.footer_note}}

Recipient variables:

  • {{recipient.name}}, {{recipient.first_name}}, {{recipient.last_name}}
  • {{recipient.email}}, {{recipient.phone}}, {{recipient.company}}, {{recipient.address}}

Company variables:

  • {{company.name}}, {{company.email}}, {{company.phone}}
  • {{company.address}}, {{company.website}}, {{company.tax_id}}

User & date variables:

  • {{user.name}}, {{user.email}}
  • {{date.today}}, {{date.current_month}}, {{date.current_year}}

Page Settings

Each template has configurable page settings:

  • Page Size — Letter, A4, or Legal.
  • Orientation — Portrait or Landscape.
  • Margins — Custom top, right, bottom, and left margins.
  • Fonts — Separate heading and body fonts.
  • Colours — Primary, secondary, accent, text, muted, border, and background colours.
  • Page Numbers — Show or hide page numbers. Position options: bottom-center, bottom-left, or bottom-right.

Default Templates

Mark one template as the default for its document type. When creating a new document, the default template is pre-selected. Each document type can have one default template.

Duplicating and Deleting

Duplicate an existing template to use as a starting point for a new one. Templates can only be deleted if they are not currently used by any documents. Inactive templates are hidden from the selection dropdown but still available if you reactivate them.
