Creating & Editing Contacts
Adding a Contact
Click the New Contact button on the Contacts page. The form has two sections:
- Basic Information — first name (required), last name, email, and phone
- Additional Information — any custom fields configured for your account
Field Rules
- First name — required, maximum 255 characters
- Last name — optional, maximum 255 characters
- Email — optional, must be a valid email, must be unique within your account. Two contacts cannot share the same email address.
- Phone — optional, maximum 50 characters (free-form, so international formats are accepted)
Any custom fields marked as required must also be filled in before saving.
The Contact Detail Page
Click any contact to open their detail page. The layout has two panels:
- Left sidebar — avatar, name, email, phone, action buttons (Edit, Quick Invoice, More menu), custom field values, tags, and portal access status
- Main area (tabs):
- Overview — relationship cards, payment summary (total invoiced, total paid, total outstanding), and the latest document
- Documents — table of all documents assigned to this contact, showing type, status, totals, and dates
- Activity — timeline of actions like document sent, payment received, portal login, etc.
Quick Invoice
From the contact detail page, click Quick Invoice to create a new invoice for this contact without leaving the page. You can select a template and set payment terms right from the modal.
Editing
Click Edit on the contact detail page to update any field. The same validation rules apply. Changes to tags take effect immediately when saved.
Events & Automations
When a contact is created, updated, or deleted, the platform fires events that can trigger automations. For example, creating a contact tagged "VIP" could automatically send a welcome email.
