Tags & Tag Groups
What Are Tags?
Tags are colored labels you can apply to contacts, documents, forms, form submissions, and custom entity records. Use them to categorize, filter, and organize your data. Examples: "VIP", "Needs Follow-Up", "Active Client".
Creating a Tag
Go to Customize > Tags in the sidebar and click New Tag. Set the following:
- Name — the display label (required, max 255 characters)
- Color — choose from 18 preset colors: gray, red, orange, amber, yellow, lime, green, emerald, teal, cyan, sky, blue, indigo, violet, purple, fuchsia, pink, or rose. Each color has coordinated background, text, and border shades.
- Icon — optional, choose from 440+ Lucide icons across categories like status, time, people, business, communication, finance, nature, tech, security, tools, and more
- Description — optional note about when to use this tag
- Tag Group — optionally assign the tag to a group
Tag Groups
Tag groups organize related tags under a heading. Go to Customize > Tags and click New Group. Groups have:
- Name and Description
- Color and Icon (same options as tags)
- Exclusive mode — when enabled, only one tag from this group can be applied to a given record at a time. If you apply a second tag from an exclusive group, the first is automatically removed. This is useful for status-type tags where a contact can only be "Active" or "Inactive", not both.
- Allowed models — restrict which record types can use tags in this group. Options include Contacts, Documents, Forms, Form Submissions, and any custom entity types you have created. If no restriction is set, the group’s tags can be applied to any record type.
Applying Tags
You can apply tags in several places:
- Contact detail page — the Tags section in the sidebar lets you add or remove tags inline
- Contact create/edit form — a tag selector appears below the custom fields
- Contacts list — tags appear as colored badges on each row
- Documents, forms, records — all taggable records have tag selectors in their detail pages
- Automations — the "Add Tag" and "Remove Tag" automation actions let you tag records automatically
Tag Selector Filtering
The tag selector automatically filters to show only tags that are allowed for the record type you are editing. For example, if a tag group is restricted to Contacts only, those tags will not appear when editing a Document.
Reordering
Drag and drop tags and tag groups to reorder them. The position order is used in the tag selector dropdowns and the Tags management page.
