Automation Overview

What Are Automations?

Automations let you build workflows that run automatically when specific events happen in your account. Each automation has four types of building blocks:

  • Trigger — The event that starts the automation (e.g., a form is submitted, a document is signed).
  • Conditions (optional) — Logic checks that filter which events should continue (e.g., only if the payment amount is over $1,000).
  • Actions — The tasks that execute when the trigger fires and conditions pass (e.g., send an email, create a record, add a tag).
  • Delays (optional) — Pause the workflow for a specified duration before continuing to the next step.

The Canvas Builder

The visual canvas builder lets you drag and connect nodes to design your workflow. Each node represents a trigger, condition, action, or delay. Connect nodes with edges to define the flow. You can see the entire workflow at a glance and click any node to configure it.

Examples

  • When a form is submitted → Create a contact → Add “Lead” tag → Send welcome email.
  • When a contract is signed → Generate an invoice → Notify your team.
  • When a payment is received → Check if amount > $1,000 → If yes, notify account manager; if no, just send a receipt.
  • When an invoice becomes overdue → Wait 3 days → Send reminder email → Wait 7 days → Send final notice.
  • When a contact is created → Check if tagged “VIP” → If yes, create a Project record and assign to team.

Active vs. Inactive

Automations can be Active (processing events in real time) or Inactive (paused — events are ignored). Build and test your workflow in inactive mode, then activate it when you are ready to go live.

Execution Limits

Each automation run has a maximum of 100 steps to prevent infinite loops. If the step limit is reached, the run is stopped and marked as failed.
